Job Title: Facilities Administrator
Location: Coventry
Working Hours: Monday to Friday, 37.5 hours per week, standard hours 08:30 - 16:30
Pay: £13.28 per hour
About the Role:
Our client is seeking a proactive Facilities Administrator to support the day-to-day operations of facilities management. Reporting to the Facilities Business Partner, you will play a key role in maintaining a safe and comfortable working environment, ensuring maintenance programs run smoothly, and responding to urgent issues effectively.

Key Responsibilities:
Proactively manage day-to-day facilities issues and schedule preventative maintenance.
Support operational management of site properties to ensure legal and quality standards are met.
Coordinate maintenance programs for the interior and exterior appearance of properties.
Manage contractors, ensuring work is completed to agreed standards, paperwork is up-to-date, and any issues are resolved promptly.
Maintain the in-house facilities system ‘Safety Cloud’ to record service records, audits, and training.
Use 3rd party systems to review service details and reports.
Manage purchase orders for equipment, stationery, consumables, and contractors.
Conduct routine inspections of premises and equipment.
Complete weekly and monthly health & safety checks and participate in H&S meetings, including minute taking.
Plan and organise internal and building-to-building staff moves.
Respond appropriately to emergencies or urgent issues as they arise.
Test building security systems and prepare for emergency scenarios.
Build and maintain effective working relationships with internal and external stakeholders.
Support ad hoc facilities projects and SHE(Q) duties as required.

Qualifications and Experience:
Essential:
Proficient in Microsoft Excel, Word, and Outlook.
Excellent planning and organisational skills.
Desirable:
Experience in a facilities administration role.
Experience working in a health & safety-focused environment.
